On-site printing that keeps your event moving

There's a moment we never get tired of: a guest takes the photo, walks a few steps, and we put a finished print in their hand before they've even finished chatting. That's the whole point of on-site printing. No "we'll email them next week", no waiting around — the photo becomes part of the night itself. We've been doing this at corporate dinners, brand activations, conferences and private parties across London and the rest of the UK for years, and the reaction is the same every time.

Behind that simplicity is some genuinely fast kit. We shoot, edit and send the image wirelessly to the print station, and a standard 6x4 is out in under ten seconds. One printer handles roughly 350 prints an hour, which is plenty for most events. When you're expecting a real crowd — a few hundred delegates, say, or a busy gala — we set up a double studio so two queues run at once and nobody's left standing about. We use professional Mitsubishi and DNP dye-sublimation printers, so the prints are dry, durable and properly photographic, not the washed-out look you sometimes get from cheaper booths.

Your branding on every photo

This is where on-site printing earns its keep for corporate clients. Every print can carry your logo, your event hashtag, a custom border or a full bespoke template. Our in-house designer builds that template before the event from your logo, colours and any wording you want, so what your guests take home is genuinely yours. For a product launch or a brand activation, that print quietly does a job long after the night — it ends up on a desk, a fridge, a noticeboard. Low-cost, high-impact, and a lot more memorable than another branded pen.

Studios to suit the room

Not every event wants the same setup, so we don't force one. A mobile pop-up studio gives you a tidy, consistent backdrop and lovely lighting for portraits. Green screen lets us drop in any background you fancy, themed or branded. Step-and-repeat is the one to choose when you need to photograph a lot of people quickly — awards nights, busy launches, anywhere there's a queue of guests who all want their moment. And where a fixed stand would get in the way entirely, we roam.

Roaming photography with instant prints

A roaming event photographer works the room rather than waiting in it. There's no stand for guests to queue at and no corner of the venue given over to a booth — the photographer moves through the drinks reception, the dinner tables and the networking floor, photographing people where they already are. The images go wirelessly back to the print station as they're shot, the branded template is applied automatically, and a runner brings the finished prints out to guests a few minutes later.

It's the format we'd usually suggest for conferences and drinks receptions in London, where floor space is expensive and a static booth pulls people out of the room you've paid for. It also tends to produce more natural pictures: guests are photographed mid-conversation rather than lined up against a backdrop. For an awards dinner or a launch we'll often run both — roaming through the reception, then a pop-up studio once everyone's seated.

Roaming works particularly well in venues where you can't rig anything permanent: historic buildings, museums, marquees, exhibition halls with tight build schedules. We only need somewhere discreet to put the print station and a single socket, and the photographer covers the rest of the room on foot.

Instant sharing as well as prints

People love a physical print, but they also want the photo on their phone within seconds — so we do both, and neither costs you the other. Alongside the printed copy, guests can have their image sent by text, email or QR code with no app to download and nothing to install. They can also share straight to social from a sharing kiosk or a roaming tablet, which is where most of the online reach comes from.

For you, that means the event keeps appearing in feeds while it's still happening rather than a week later when the gallery lands. If you're running an event hashtag, the branded template and the sharing kiosk work together: the same image goes home in someone's pocket and onto their timeline within about a minute of being taken.

After the night, you get a same-day private gallery with the full edited set — password-protected if you'd rather keep it to invited guests only — plus the images in full resolution for your own PR and marketing use.

The gallery runs on our own software rather than an off-the-shelf platform, which lets it do something a folder of files can't: guests find themselves using face recognition. They scan a QR code, take a quick selfie, and every photo they appear in surfaces within seconds. At a 500-guest event that's the difference between people actually collecting their photos and your team fielding "which ones am I in?" emails for a fortnight. Matching is opt-in, so nobody is identified unless they choose to scan and take that selfie. Anyone who'd rather not appear in the shared gallery can tell us on the night or afterwards, and we'll take their images down.

How many print stations will you need?

One printer produces a finished 6x4 in under ten seconds and handles roughly 350 prints an hour. Where guest numbers climb, the limit is rarely the printer — it's the queue. Adding a second station lets two lines run side by side and keeps the whole thing moving. As a rough starting point:

These are starting points, not fixed rules. What actually drives the setup is how the evening runs: 500 guests released to a reception all at once needs more capacity than 800 arriving gradually across a three-hour drinks window. Tell us the running order and we'll size it properly.

What we sort out so you don't have to

The practical side is genuinely undemanding. The print station tucks into about 60cm x 60cm and runs off a single 13A socket; if there isn't one where we're setting up, we bring a silent power station. We arrive with backup equipment as standard, because the one thing you can't do at a live event is stop and reschedule. We're fully insured, and we're happy to send over public liability documents for venues that ask. There are no hidden fees — what we quote is what you pay.

How much power and space does the print station need?+

Not much. The printers sit happily in about 60cm x 60cm — roughly a small side table — and we only need one 13A socket nearby. If the venue can't give us a socket where we're setting up (think marquees, outdoor activations or a far corner of an exhibition hall), just tell us in advance and we'll bring our own silent power station.

How quickly do the photos actually print?+

It depends on the size. A standard 6x4 is out in under 10 seconds, a 6x9 takes around 18 seconds, and a larger 8x12 about 25 seconds. One printer comfortably handles roughly 350 prints an hour, and for busier events we add a second station so two queues run side by side.

Can you put our logo and branding on the prints?+

Yes. We've an in-house graphic designer who builds a bespoke template for your event — send over your logo, colours and any text, and every photo comes out branded. It works brilliantly for corporate activations, product launches and conferences where you want the print working as a keepsake and a bit of marketing at the same time.

What print sizes and finishes can guests have?+

We print 6x4, 5x7, 6x8, 6x9, 6x6 square, 8x10 and 8x12. Prints can be handed over in strut mounts, slip-in folders or frames depending on the feel you're after — a slip-in folder for a quick gala giveaway, a frame for something a bit more premium.

Do guests get digital copies as well as prints?+

They do. Alongside the printed photo, guests can have their image sent straight to their phone by text, email or QR code — no app to download — and you get a same-day private gallery for the full set. It keeps the photos circulating online while the event is still going on.

How do guests find their own photos in the gallery afterwards?+

By face recognition, through gallery software we built ourselves rather than licensed in. A guest scans a QR code, takes a quick selfie, and every photo they appear in surfaces within seconds. No scrolling a two-thousand-image gallery, no emailing you to ask which pictures they're in. It's opt-in, so nobody is matched unless they choose to scan and take that selfie, and anyone who'd rather not appear in the shared gallery can tell us on the night or afterwards and we'll take their images down. Owning the software also means we can adapt how delivery works to suit your event, rather than fitting your event around a platform.

Can we hire just the printer without a photographer?+

We don't offer dry hire — every setup comes staffed with our own photographer and operator. It isn't us being awkward: the prints only look right because someone is colour-managing them on the night, the branded template needs setting up and checking against your artwork, and when a queue builds it takes an operator to keep it moving. We also carry backup kit, which only helps if there's someone there who knows how to swap it in. If you need photography and printing together, that's exactly what we do.

How many print stations do we need for our guest numbers?+

One station handles roughly 350 prints an hour and suits most events up to around 350 guests. Above that we'd usually run two stations so two queues move at once, and for 1,000-plus we plan the setup around your running order. It depends less on the headcount than on how the evening flows — 500 guests arriving at once needs more capacity than 800 spread across a long reception. What happens if a printer fails during the event?+

We arrive with backup equipment as standard, because you can't pause a live event to reschedule. If a printer plays up we swap it out and carry on — most of the time guests never notice. The same goes for cameras and lighting.

Can you photograph guests around the room rather than at a fixed stand?+

Yes — that's our roaming setup, and it's often the better choice at conferences and drinks receptions. The photographer works through the room instead of waiting at a stand, images travel wirelessly to the print station as they're shot, and finished prints are brought out to guests a few minutes later.
